Creating a New Instance

The first step to setting up Appointment Confirmations is to create a new instance in Outbound > Create Automatic Instance > Appointment Confirmations. You can then select a name for the confirmation instance.

Under Run 1 you can configure whether the Appointment Confirmations are sent via calls or SMS along with the specific text that is sent. If you have a link to a patient intake form for new patients, you can enter it here in the text box. You can add multiple runs across different channels.

You can then choose which appointment types the confirmation instance will run for. If you’ve entered a link to a patient intake form in the text box, then you’ll want to ensure that only new patient appointment types are selected for this particular confirmation instance. You can then create a separate instance for any existing patient appointment types.

Once you’re all set, hit Create Instance.

Patients will now receive confirmations when they book new appointments, within one hour of the booking being made. These confirmations will run for all new appointments, not just those booked via the AI.

Selecting Instances

Once an instance has been created, it will appear in the main Outbound Communications page. New Appointment Confirmation instances can be created for different appointment types or with different text.

All instances will show in the main page, where you can enable/disable them accordingly. You can track your overall usage across the Outbound Module at the bottom of the page, along with a cost breakdown.
